Documents to prepare before submitting an invoice for finance

Prepare invoice information, approval evidence, and supporting delivery records.

Published 29 Sep 2026 · Updated 29 Sep 2026

Invoice document

Provide a clear invoice showing the legal supplier, debtor, invoice number, issue date, due date, currency and amount. Application details should match the document.

Purchase order or approval evidence

A purchase order, contract, statement of work or debtor approval can demonstrate that the obligation was authorised. Its reference should align with the invoice.

Delivery or service evidence

Delivery notes, completion certificates, timesheets or acceptance records support the claim that goods or services were supplied.

Company and debtor information

Current business registration, ownership, identity and verified banking information are required alongside accurate debtor details. Differences may lead to correction or rejection.

Common document-quality problems

Unreadable scans, cropped pages, inconsistent amounts, duplicate invoice numbers and missing approval evidence slow review. Upload complete originals and explain legitimate differences.
